Administrative Assistant

Background 

The Vaccine Group pursues the innovative design, construction and characterisation of herpesvirus vaccine vectors. We apply state-of-the-art technology towards the control of infectious diseases that impact human and animal health, and the economy. These disease-causing pathogens include viruses such as Ebola, Lassa and SARS-CoV-2 that directly impact human health, as well as those that affect critical animal populations such as porcine reproductive and respiratory syndrome virus in pigs and zoonotic diseases of domesticated livestock species.

Overview

TVG is seeking a professional, discreet individual capable of working with others in a laboratory and office environment, whilst maintaining strict impartiality and confidentiality. This varied role includes all the usual administrative duties you might expect in this type of role along with other office duties as required.

Although you may not have worked as an Administrative Assistant before you are experienced in customer service and have great Microsoft Office skills and an excellent eye for detail. Efficient and good with people, you can tackle multiple tasks and work as part of a team. If you always give 100%, we would love to hear from you.

Key Responsibilities

End to end planning of laboratory operations for the entire lab team

  • Diary management for senior management team (SMT)
  • Arranging and booking travel, accommodation and other key requirements as needed and ensuring SMT has the correct paperwork and information
  • Booking meetings for SMT and Board members and resolving conflicts to provide assurance of availability
  • To support CEO and CSO in creating agenda for meetings and writing and submitting meeting notes and actions
  • Sending out key communication on behalf of SMT and the Board and where required support in writing the communications
  • Collating and filing expenses for HMRC and grant auditing and ensuring in line with company policy
  • Ordering office stationery and hardware including IT
  • Answering the telephone
  • Monitoring and responding to various email accounts and escalating where necessary
  • Managing the reporting of annual leave, sickness and time sheets and liaising with HR in these areas
  • Post room management
  • Support the SMT and HR with recruitment advertising, vacancy notices and arranging interviews
  • Maintain back-office systems.

Experience, skills, and abilities required

  • Excellent oral and written communication skills (essential)
  • Ability to work under pressure
  • Methodical approach to workload
  • Above average accuracy and typing speed (essential)
  • Literacy and numeracy
  • Excellent working knowledge and proficiency in the use of Microsoft software: Word, Excel, Access, Power-Point, Teams, and Forms
  • You will be committed and confident with organisational and prioritisation skills
  • You will be comfortable working both individually and with a team.

Essential requirement for the role

The role will be subject to a 6 month probationary period.
